How to Set Up a Form for Matter Record
Learn how to set up a form to re-use data in Smarter Drafter Pro.
Smarter Drafter enables the re-usability of data entered in a form to reduce the rekeying of information, known as Matter Record. To achieve this, forms must be setup correctly to structure and logically store data captured.
When a form filler completes a form, their answers are stored against specific field which is mapped to a field alias and role. This creates a reusable data path with multiple forms if another form uses the same field alias and has the same role mapped.
Getting Started
1. Setup a Form with Roles and Field Aliases
Forms in Smarter Drafter are setup with Field Aliases and Document Roles. This allows data to be mapped, define how to organise data and pull the right information into the right field.
For example, you may have a section that captures the Clients details. You create fields such as Client Name and give it a field alias client_name then map that field to Client role. When a form filler then starts filling in the form, they enter John Smith in that field, which will then store for the matter a entity John Smith and give it the role of a Client.

Note: Name field type is used as the label name of the Entity saved. If there is no Name field type in a form when an Entity is created, the name of the Role mapped will be used as the entity label.
2. Start filling in forms
- Navigate to Form Library, locate the respective form and start the form.
- Add the matter source and matter ID.
- If there has been previous data populated for a matter, Entities will be automatically assigned.
- If there has not been any previous data for a matter, then form fillers can enter data manually to then benefit in future submissions.
Common Issues & Solutions
Issue: Starting a form does not show any Roles
Solution: The form has not been setup for Matter Record. If you are a Builder, update the form to ensure it has field aliases and roles mapped.
Issue: Data isn’t populating into a new form
Solution: Check that the same matter is selected, field alias and roles match exactly between forms.
