How to Insert Images and Set Upload Dimensions in Templates

If your form includes file upload fields for images (like signatures, headshots, or ID scans), you can insert those images directly into your Word template using the Smarter Drafter Add-In. This guide shows you how to insert images and adjust their size and layout for a professional final document.

Add an Image Upload Field to Your Form

Before inserting an image into your template, make sure your form has a file upload field configured to accept image formats (e.g. JPG, PNG).

Insert the Image into Your Word Template

  1. Open the document in Microsoft Word with the Smarter Drafter Word Add-In.
  2. Navigate to the Fields tab.
  3. Locate the image upload field from your form.
  4. Click on the field to insert it into the template.
    • It will appear as a green content control labelled with the field name.

Resize the Image

  1. Click once on the green content control for the image.
  2. Use the Word formatting toolbar to adjust width, height, or alignment.
    • For example: Right-click > Size and Position > set height to 3 cm and lock aspect ratio.

NOTE: This ensures uploaded images appear at a consistent size in the final document.

Align and Format the Image

  • You can align the image like any other object in Word:
    • Use Home > Paragraph > Align Center/Right.
      Use tables or indents for consistent placement if needed.

Add spacing above or below using line breaks or paragraph spacing.


Tips for Use

  • Keep image dimensions reasonable—overly large image uploads may distort formatting.
  • Use file upload field settings to restrict formats or limit file size at the form level.
  • Always preview or test with real uploads to ensure correct placement.

Common Issues & Solutions

  • Issue: The image doesn’t appear in the generated document.
  • Solution: Check that the user uploaded an accepted file type. If no file was submitted, the field will remain empty.
  • Issue: The image appears too large or distorted.
  • Solution: Adjust the size of the image placeholder in Word. Ensure "Lock Aspect Ratio" is enabled in size settings.
