How to Insert e-Signature Placeholders in a Template

Learn how to insert e-signature placeholders in a template in Smarter Drafter Pro.

You can insert an e-signature placeholder into your Word template to show where a user’s signature will appear. These placeholders are useful for visually marking the signature line in generated documents, especially when exporting to PDF for signing.

Instructions

Add a Signature Upload Field to Your Form

  1. In the form builder, add a File Upload field.
  2. Label it clearly (e.g. “Client Signature”).
  3. In the settings, restrict file types to image formats such as PNG or JPG.

TIP: Signature fields should be optional or conditional if not always required.

Insert the Signature Placeholder in Your Template

  1. Open your document in Microsoft Word with the Smarter Drafter Add-In enabled.
  2. Navigate to the Fields tab in the Add-In.
  3. Locate the signature upload field you added to the form.
  4. Click the field to insert it into the template.
    • It will appear as a green content control.

Resize and Position the Signature

  1. Click on the green content control to select the placeholder.
  2. Use right-click > Size and Position or the Word ribbon to adjust the image dimensions.
    • Recommended size: 5–6 cm wide and proportionally scaled.
  1. Add any labels or lines manually underneath (e.g. “Signed by: [Client Name]”).

Format for a Clean Layout

  • Use tables or spacing for alignment.
  • Center or left-align as needed for your document style.
  • If using multiple signatures, repeat the above steps for each signer.

Tips for Use

  • Use consistent dimensions for all signature placeholders.If combining with e-signing tools, make sure your layout aligns with the signing workflow.
  • Add instructional text in the form (e.g. “Please sign on paper and upload an image of your signature”).

Common Issues & Solutions

  • Issue: The signature field appears blank in the final document
  • Solution: Ensure the form user uploaded a valid image file. If left blank, the field will be empty by design.
  • Issue: Signature is too small or blurry.
  • Solution: Ask users to upload a higher resolution image and set a minimum recommended size in the form instructions.
