How to Insert and Configure Fields in the Word Template

Learn how to insert and configure fields in the word template in Smarter Drafter Pro.

Once your form is linked to a Word document, you can start inserting fields to automate the final output. This guide covers how to insert fields using the Word Add-In, select components (like first name only), customise placeholders, and identify fields using their unique ID.

Instructions

Quick Reference Guide

 Insert a Standard Field

  1. Place your cursor where you want the answer to appear in the document.
  2. In the Word Add-In, go to the Forms tab.
  3. Click on a section to view available fields.

  4. Click Add next to the field you want to insert.

NOTE: This inserts a green content control, which acts as a placeholder for the answer.

Insert Field Components (e.g. First Name Only)

  1. Click the More Actions menu (⋮) next to the field name.
  2. Choose the desired component, such as:

    • First Name, Last Name (for Name fields)
    • Suburb, State (for Address fields)
    • Day, Month, Year (for Date fields)

  3. (Optional) Select case formatting (e.g. Title Case, UPPERCASE).
  4. Click Add to insert the component.

NOTE: These options vary based on field type and help fine-tune the output.

Customise the Placeholder Text

  1. Click on the inserted field (green content control).
  2. The default placeholder is [ * ].
  3. You can edit the placeholder to something more descriptive, like [Client Name].

NOTE: This helps keep templates readable during setup, especially for large documents.

Identify a Field by Field ID

  1. Right-click on the content control in the Word document.
  2. Select Properties.
  3. The Field ID (used for referencing) will be shown.

NOTE: This is useful if your form contains similar fields (e.g. multiple names or addresses).

Tips for Use

  • Use descriptive placeholders to stay organised.
  • Insert components when only part of a field is needed (e.g. first name only in greetings).
  • Always work with Design Mode and paragraph marks turned on to view structure clearly.

Common Issues & Solutions

  • Issue: The wrong part of the name or address appears.
  • Solution: Use the kebab menu to insert specific components instead of the full field.
  • Issue: My field doesn’t show in the Word Add-In.
  • Solution: Make sure the form is linked and click Refresh Form if the field was recently added.
