How to Create, Automate, and Upload a Content Block

Learn how to create, automate, and upload a content block in Smarter Drafter Pro.

A Content Block is a reusable piece of a Word document, designed to be inserted into multiple templates. It’s always connected to a Section Block, which defines the questions users fill out in the form. Together, Section Blocks and Content Blocks enable consistent automation across documents.

Think of it like this:

  • The Section Block is a mini-form.
  • The Content Block is the matching mini-template.

It’s important to note:

  • A Section Block does not need a Content Block — its fields can still be used directly in templates.
  • A Content Block, however, must be connected to a Section Block — it relies on the fields defined there.

Quick Reference

Section Block

  • A reusable group of fields that can be inserted into multiple forms
  • May include full use of Smarter Drafter features (logic, repeaters, etc.)
  • Can be used directly in templates, even without a Content Block
  • Can have zero, one, or many connected Content Blocks

Content Block

  • A reusable Word document fragment
  • Must be linked to a Section Block
  • Can be inserted into any template using the Word Add-In
  • Appears in templates as a purple content control

When to Use a Content Block

You’ll know a Content Block is useful when you find the same structure or text layout repeating across multiple templates. Common examples include:

  • Branding: Insert standardised logo or image files to maintain consistency and quality.
  • Correspondence: Create letter shells with a consistent layout and salutation.
  • Coversheets: Standardise title pages or cover pages across templates.
  • Court forms: Reuse the common body text or layout across multiple jurisdictions.
  • Schedules: Insert lists like subpoena schedules, ID requirements, or declarations.

Even for small chunks of text or a single image, using a Content Block ensures consistent formatting and allows you to update all documents in one go by editing the original block.

Getting Started

Prepare the Content Block Word Document

  • Start with a clean Word document, following your organisation’s approved template structure.
  • Save it using the same folder structure as full templates (e.g. /Templates/Content Blocks).
  • Decide whether you’re creating a Static or Dynamic Content Block.

Static Content Block:

  • Contains no fields or automation
  • Just text, images, or layouts
  • Example: firm letterhead or cover page layout

Dynamic Content Block:

  • Includes fields, logic, or conditional rules
  • Example: reusable party table, clause with optional paragraphs, prefilled statements

Static Content Blocks – Setup Tips

All Content Blocks must be linked to a Section Block, and every Section Block must:

  • Contain at least one section
  • That section must contain at least one field

If you're building a static block (e.g. an image or heading), create a minimal Section Block with:

  • A hidden section title
  • A hidden field (e.g. a calculated date field)

This allows insertion of the Content Block into templates without showing any questions to the end user.

All Content Blocks must be linked to a Section Block, and every Section Block must:

  • Contain at least one section
  • That section must contain at least one field

If you're building a static block (e.g. an image or heading), create a minimal Section Block with:

  • A hidden section title
  • A hidden field (e.g. a calculated date field)

Instructions

1. Add Fields and Automation to the Content Block (only applies to Dynamic Content Blocks)

  1. Open Microsoft Word.
  2. Create a blank document or start from a styled template.
  3. Launch the Smarter Drafter Word Add-In.
  4. Click Section Block.
  5. The Section Block fields are now in the panel and available to be added to the document.
  6. Insert the relevant fields and automation required in the Content Block.

 

2. Upload the Content Block

  1. When you're done, click Upload in the Word Add-In.
  2. The Content Block will be linked to the Section Block and saved to your library.

3. Testing

Once your Content Block is uploaded and connected to its Section Block, you should test it just like you would a standard form and template.

  1. Click Preview to simulate the form experience and verify:
    • All expected fields are shown
    • Any conditional logic behaves correctly
    • The Content Block renders properly in the final document

NOTE: Section Blocks and Content Blocks can be as complex as full forms and templates — so they deserve the same level of testing.


4. Publishing

After testing is complete and you’re happy with the setup:

  1. In Section Blocks, find the block you’ve been working on.
  2. Click the Options menu
  3. Select Publish and Create Draft.

NOTE: Publishing locks the Section Block and makes it ready for use in real forms. You can still edit later by creating a new draft.


5. Amending Content Blocks

The process for amending a Content Block is the same as updating an ordinary form:

  1. Open the Content Block and make the necessary changes in the original Word document.
  2. Upload the Content Block again to the linked Section Block using the Word Add-In.
  3. Test and publish the Section Block to finalise your changes.

NOTE: Once republished, any templates using that Content Block will now insert the updated version.


Tips for Use

  • Content Blocks are ideal for repeatable clauses, parties, schedules, or signature tables.
  • Use clear naming to match the Section Block it relates to.
  • You don’t need to use a Content Block in every template - sometimes inserting the Section Block fields directly is simpler.

Common Issues & Solutions

  • Issue: I can’t find the Section Block in the Add-In
  • Solution: Ensure it’s saved and visible in your workspace. You may also need to refresh the Add-In.
  • Issue: The Content Block uploaded but isn’t working in the template.
  • Solution: Check that the fields used in the Content Block exactly match the Section Block they’re linked to. Also confirm that the Section Block is inserted into the form.
