How to Set Fields to Share Data Between Parent and Intake Forms

When using Intake Forms, setting fields to share data between the parent and Intake Forms can save you time and reduce the need for rekeying information. This guide explains how to set up fields so that data entered by the recipient in the Intake Form is automatically shared with the parent form.
Instructions
1. Open the Parent Form
- Begin by navigating to the Forms section in your Smarter Drafter dashboard. Find and open the published version of the parent form.
2. Access Settings
- In the parent form's menu, click on Settings to open the settings panel.
3. Go to Fields
- In the settings panel, navigate to the Fields section where you can manage the various data fields in the form.
4. Select Fields for Data Sharing
- For each field you want to share data between the parent and Intake Forms, click on the field settings and locate the option for Pre-fill Details or Share Data.
- Tick the checkbox next to Share Data to enable the field to share data between the parent form and its linked Intake Form. This ensures that when the recipient fills out the field in the Intake Form, their answer will automatically populate the corresponding field in the parent form.
5. Save the Changes
- After selecting all the necessary fields, click Save to apply the changes.
6. Test the Data Sharing
- To verify that data sharing is working, preview or send an Intake Form to yourself. Fill out the fields that share data, then check the parent form to ensure that the data has been correctly populated.
Common Issues & Solutions
- Issue: Data isn’t being shared correctly between the parent and Intake Forms.
- Solution: Double-check that the Share Data option has been enabled for each relevant field in the parent form. If the field is not correctly marked for data sharing, the information won’t transfer.
- Issue: The wrong data appears in the parent form.
- Solution: Ensure that the data fields in both the parent and Intake Forms are aligned and correspond to one another (e.g., Name in the Intake Form is linked to Name in the parent form).
