Managing permissions for specific folders and forms in Smarter Drafter allows you to control access to individual pieces of content, ensuring that only the right users have the appropriate level of access. This article will guide you through the process of managing permissions for specific folders and forms.

Instructions

1. Navigate to Permissions Settings

  • In the top navigation bar, go to Settings.
  • Select Permissions to open the permission settings page.

2. Select a User or Group

  • In the User Permissions tab, search for the user or user group for whom you wish to set folder and form permissions.
  • Click on the user or group name to open their permission settings.

3. Choose Specific Folders and Forms

  • Under the Builder Permissions section, select the option Specific Folders & Forms. A table will appear that allows you to assign permissions at the folder and form level.

4. Assign Permissions at Folder Level

  • In the table, you will see folders and sub-folders listed. Select the permissions you want to grant the user for each folder. Available options include:
    • Read: Allows the user to view documents in build mode.
    • Add: Allows the user to add new forms to the folder and its sub-folders.
    • Edit: Allows the user to edit existing documents.
    • Delete: Grants permission to delete existing documents.
    • Publish: Grants permission to publish existing documents within the folder.
    • Folder Management: Allows the user to manage the folder, including deleting or adding sub-folders (does not allow creating new parent folders).

5. Assign Permissions at Form Level

  • After selecting the folder permissions, scroll down to the Forms section where you can assign permissions at the form level. Choose the desired permission for each form in the folder.
  • You can assign the following permissions at the form level:
    • Read: Allows the user to view the form.
    • Edit: Allows the user to edit the form.
    • Delete: Allows the user to delete the form.
    • Publish: Allows the user to publish the form.

6. Enable Inheritance for Sub-Folders

  • To apply the same permissions to sub-folders within the selected folder, ensure the Inheritance option is enabled. This will automatically apply the parent folder’s permissions to all existing and future sub-folders.

7. Save Changes

  • After configuring the permissions for specific folders and forms, click the Save button to apply your changes.


Common Issues & Solutions

  • Issue: Permissions not reflecting correctly on forms after being set.
  • Solution: Ensure that the permissions are saved and that the Inheritance setting is properly enabled for sub-folders.
