How Contact Mapping Works in Forms
Learn how contact mapping works in forms in Smarter Drafter Pro.
Contact Mapping helps streamline the form-filling process by automatically filling in known contact information from the address book into your forms. This feature not only saves time but also ensures the accuracy of data entered into the form. This article explains how Contact Mapping works, including the dynamic search feature and the process of updating contact details.
Instructions
1. What is Contact Mapping?
- Contact Mapping links your form fields to contact information stored in the address book, such as names, addresses, emails, and phone numbers. When Contact Mapping is applied to a section, the form will automatically pull in data for known contacts.
2. Triggering the Contact Search
- When the form filler starts typing a contact’s name in the relevant field, Smarter Drafter runs a dynamic search. This search checks the address book for any matching entries based on the name or other identifying details entered.
3. Selecting a Contact
- If a match is found, the form filler can select the existing contact from the search results.
- Upon selecting a contact, any data that is already stored in the address book (such as address, phone number, etc.) will automatically populate the corresponding fields in the form.
4. Adding or Updating Contact Information
- After selecting a contact, the form filler can update any missing or outdated information. They can either:
- Add new details: If the contact’s information is incomplete, the form filler can add missing data.
- Amend outdated details: If any contact data is incorrect, the form filler can correct it directly in the form fields.
5. Manually Entering a New Contact
- If no matching entry is found in the address book, the form filler will need to manually enter the contact’s details into the form. The new information can then be saved to the address book for future use.
6. Saving or Skipping New Contact Data
- Once the form is completed, the form filler will be prompted to either:
- Save the new contact: Any new or updated contact details entered during the form filling can be saved to the address book for future forms.
- Skip saving the contact: The form filler can opt to not save the new contact details or changes made to existing contacts.
Common Issues & Solutions
- Issue: Contact data doesn’t automatically populate.
- Solution: Ensure that Contact Mapping has been applied correctly to the form fields. Double-check that the contact field names match the details in the address book.
- Issue: The form filler is unable to find an existing contact.
- Solution: Verify that the contact exists in the address book and that the name or other details are typed correctly. If the contact is not available, the form filler can manually enter the contact details.
